Executive Assistant
Remote, Costa Rica
Key Responsibilities
● Executive & Calendar Management: Manage all professional and personal scheduling for the CEO, including complex global calendar coordination, meeting logistics, and preparation of agendas and briefing materials.
● Client & Business Follow-Up: Serve as the CEO’s liaison for high-priority client relationships and partnerships. Actively follow up on inbound interest for the company expertise, conduct initial screening, schedule conversations, and ensure all business opportunities are properly tracked and funneled to appropriate company leadership.
● Communication & Information Flow: Manage the CEO’s mail, email, and phone calls, drafting and managing communication on their behalf, and ensuring a smooth, confidential flow of information to senior internal and external executives.
● Travel & Logistics: Manage all aspects of the CEO’s domestic and international travel logistics, including detailed booking of accommodations, transportation, and meals.
● Operations Team Support: Provide robust, reliable administrative and organizational support to the Operations team, assisting with light project coordination, document management, and general office duties as needed.
● Confidentiality: Maintain professionalism and exercise strict confidentiality with all sensitive company, client, and personal materials.
Required Skills & Qualifications
● Experience: Three (3) or more years of full-time experience in an Executive Assistant role supporting C-Suite executives (CEO, CFO, etc.).
● Communication: Excellent professional written and verbal communication skills in both English and Spanish (essential). Must be able to converse confidently with senior international leadership.
● Business Acumen: Demonstrated relationship management experience (e.g., sales support, stakeholder management, customer success).
● Organization: Exceptional time-management skills and proven ability to organize, coordinate, and manage multiple, complex projects concurrently.
● Technical Proficiency: Expert proficiency with office productivity tools (Microsoft Office/Google Workspace), calendar management, virtual conferencing, LinkedIn, and email management systems.
